Information we collect
When you report an issue or ask a question, we collect the information shown on the relevant form, including your name, contact details, ward, community and message. Technical security logs may record limited connection information needed to prevent abuse and protect the service.
Why we use it
We use submitted information to receive, assess, route, respond to and report on constituency matters; to contact you about your submission; and to maintain the security and accountability of the portal.
Who can access it
Access is restricted to authorised campaign or constituency personnel who need the information for their assigned role. Your phone number and email address are not shown in public tracking results.
Data minimisation
Please do not submit passwords, banking details, voter-card numbers, medical records or other unnecessary sensitive information. The portal is not designed to record how any person votes.
Retention and deletion
Records should be retained only for an approved operational period and securely deleted when no longer required, subject to legal and accountability obligations.
Your choices
You may request correction or deletion of personal information, subject to applicable lawful retention requirements. Contact details for privacy requests must be added by the campaign before launch.
Security
The portal uses encrypted connections when correctly deployed with HTTPS, role-restricted staff access, protected sessions, anti-forgery controls, rate limiting and audit logging. No internet system is risk-free, so staff access and hosting must be maintained carefully.

This notice may be updated as campaign procedures develop. The latest approved version will be published on this page.
